Qanun Medika – Medical Journal Faculty of Medicine Muhammadiyah Surabaya is committed to maintaining the long-term accessibility, integrity, and preservation of scholarly records through an electronic filing and digital preservation system.
The journal manages manuscript submissions, peer-review records, editorial decisions, and published articles through its electronic journal management system to support transparency, accountability, and traceability throughout the publishing process. These practices are aligned with the COPE Core Practices, which provide guidance on maintaining ethical and responsible scholarly publishing processes.

Electronic Filing System

Journal-related documents are managed electronically, including:
  • Submitted manuscripts;
  • Revised manuscripts;
  • Reviewer reports;
  • Editorial correspondence;
  • Editorial decisions;
  • Accepted manuscripts;
  • Published articles;
  • Article metadata and publication records.

Primary Archival Infrastructure

Electronic journal records are stored through the institutional server infrastructure managed by Universitas Muhammadiyah Surabaya as the primary archival system, subject to the university's applicable information technology and data management arrangements.
Access to unpublished manuscripts, reviewer reports, and confidential editorial records is restricted to authorized personnel involved in journal management, editorial evaluation, and publication activities. These arrangements support responsible journal management and confidentiality in accordance with the COPE Core Practices.

Digital Preservation and Archiving

Qanun Medika aims to preserve its published scholarly content and maintain its availability for future researchers, healthcare professionals, educators, and the wider academic community. Digital preservation arrangements are intended to reduce the risk of content loss and support continued access to the scholarly record.

Preservation Mechanisms

01. Institutional Server Archiving

Journal records and published article files are maintained through the institutional server infrastructure, subject to the university's archiving, security, and data retention procedures. This arrangement is intended to support secure record management, data control, and continuity of journal operations.

02. LOCKSS/CLOCKSS Digital Preservation

Where enabled and confirmed for the journal, the Open Journal Systems (OJS) platform may support digital preservation through the LOCKSS (Lots of Copies Keep Stuff Safe) or CLOCKSS (Controlled Lots of Copies Keep Stuff Safe) network. These systems are designed to preserve distributed copies of scholarly content and help maintain access when content is lost or becomes unavailable from its original source.
The journal's participation in a specific preservation network will be stated only when its configuration and participation have been verified. Information about the journal's preservation arrangements should be communicated transparently in accordance with the Principles of Transparency and Best Practice in Scholarly Publishing, developed by COPE, DOAJ, OASPA, and WAME.

Data Backup System

The journal's electronic records should be protected through appropriate backup and recovery procedures managed by the responsible institutional information technology team. Backup frequency and retention arrangements are determined by the applicable institutional infrastructure and operational policies.
Protected data may include:
  • Manuscript submission records;
  • Editorial workflow data;
  • Reviewer information and reports;
  • Published article files;
  • Journal metadata and publication records.
Backup and recovery procedures are intended to support continuity of journal operations and reduce the risk of permanent data loss. Specific backup schedules are published only when confirmed by the institution responsible for maintaining the journal's electronic infrastructure.

Confidentiality and Data Security

Qanun Medika is committed to maintaining the confidentiality and security of electronic journal records. Unpublished manuscripts, reviewer reports, and editorial communications are confidential and must be accessed only by individuals authorized to participate in the editorial and publication process.
Editors and reviewers must protect confidential manuscript information and must not disclose, retain, or use unpublished materials for purposes unrelated to the editorial evaluation without appropriate authorization. These responsibilities are consistent with the COPE Ethical Guidelines for Peer Reviewers, which address confidentiality, appropriate use of manuscript information, and responsible reviewer conduct.

Long-Term Accessibility of Published Articles

Published articles are made available through the official Qanun Medika journal website, subject to the journal's publication and access policies. The journal aims to maintain persistent access to published research through its electronic journal platform and the digital preservation arrangements supported by its publisher and institution.
The preservation of published content supports the continuity and reliability of the scholarly record. The journal's archiving and preservation policies are communicated in accordance with the Principles of Transparency and Best Practice in Scholarly Publishing.
